Agatha Launches AI-Powered Document Assistant to Streamline the Classification and Data Extraction of Documents
Simplifying documentation across research and compliance-driven environments, Agatha's new AI assistant brings speed, accuracy, and standardization to high-volume workflows.
On July 1st, Agatha Inc. officially launched a new AI-powered assistant within its document management platform. This smart assistant is now available to help organizations across the life-science industry streamline document classification, naming, and routing, reducing manual effort and human error.
Background: Addressing the Burden of Manual Document Classification with AI
Currently, Agatha is used by more than 400 customers worldwide and 60 000 users, serving as a key infrastructure for digital transformation.
In regulated industries, such as life sciences and healthcare, managing high volumes of sensitive documentation often involves inconsistent folder structures, complex naming conventions, and time-consuming tasks, especially when documents must be filed across multiple sites or systems.
Originally identified in the clinical research field, this challenge affects a wide range of teams, from compliance to quality management and clinical operations.
In response, Agatha developed an AI-powered assistant to improve productivity, accuracy, and speed across documentation workflows, while laying the foundation for greater standardization and global scalability.
Overview of the New Feature: Automatic Classification and Filing with AI
The new Document Registration Assistance feature allows users to simply upload documents to a shared folder within Agatha. The AI then automatically performs the following tasks:
- Identifies document types
- Allocates and moves them to the appropriate storage folders
- Generates file names according to predefined rules
- Supports the review and approval workflow
- Extract document information such as the document date
This seamless flow supports document-heavy processes across functions like clinical operations, regulatory affairs, and quality assurance, enabling faster handovers, fewer errors, and better traceability.
Agatha’s new AI functionalities comply with privacy and security standards such as GDPR.
Demonstrated Effectiveness: Pilot Study Shows High AI Accuracy and Strong User Feedback
Pilot tests (1) conducted with multiple pharmaceutical companies and medical institutions confirmed the effectiveness and usability of the AI document assistance feature.
Key results include:
- Expected workload reduction: Average of 55%, up to 80% in some cases
- Document classification and filing accuracy: 95.5–100%
- Automatic extraction of date information: 100%
Participants rated usability highly, commenting that the system was "very easy to understand" and that they "definitely want to use it in the field."

Future Outlook: Continued Enhancements and Expansion Across the Industry
Agatha will continue its efforts to enhance AI applications in clinical research operations. Future plans include:
- Further improving classification accuracy
- Expanding support for more document types
- Standardizing folder structures
The company also plans to introduce additional AI-powered efficiency features such as translation support, document creation, and search assistance (with data prompting), aiming to build a smarter environment for clinical trials for both medical institutions and pharmaceutical companies.
